We are seeking a Clinic Program Coordinator who will provide administrative support within the specialized diagnostic and referral services in the Oncology Ambulatory setting. This position will primarily support the Cancer Diagnostic Center and manage incoming referrals received by external affiliations and partnerships through the Collaborative Programs. The Coordinator will serve as an integral member of the clinical team and will work closely with a wide-ranging group of providers and collaborative navigators. The Coordinator will ensure timely responses to referral requests, efficient medical record retrieval, and appropriate care coordination. The Coordinator will assume administrative tasks, special projects, and so forth, as requested by manager and/or clinical team.
Specific Duties & Responsibilities:
Clinical Coordination
- Serve as the primary point of contact for internal and external patient referrals to the Cancer Diagnostic Clinic and the Collaborative Programs.
- Manage incoming calls and emails and triage patient referrals to clinical team.
- Monitor Epic In-Basket messages and Right Fax account and ensure timely response to requests.
- Answers incoming calls from referring physicians and patients. Relays relevant information to patient and referring physician as directed.
- Inform patient of clinical documentation needed and assist patients with medical record retrieval. Obtain medical records, pathology and imaging from outside facilities.
- Submit patient pathology for processing and track completion.
- Coordinate additional diagnostic testing as needed, such as lab appointments, radiology imaging and biopsy. Ensure completion of necessary testing and communicate updates to clinical team.
- Pend orders for future provider visits, specialty consultations, treatments, radiology tests and labs; route to provider for signature
- Work closely with the new patient referral office to coordinate and potentially schedule New Patient appointments with the appropriate disease group and provider(s).
- Ensure proper follow-up with referring institutions regarding patients' plan of care and/or second opinion.
- Proactively seek to improve or optimize work flow and discuss with direct management and clinical leadership, as appropriate.
- Functions as a liaison between providers and schedulers outside of oncology. Works with scheduler to resolve scheduling conflicts and overrides if necessary.
- Obtain pre-certifications as required by patient's health care insurers or managed care providers. (Primary responsibility of insurance clearance).
Information Management
- Monitor and maintain referral spreadsheet, tracking all patient referrals for the Cancer Diagnostic Center and the Collaborative programs.
- Monitor appointment scheduling and completion and update spreadsheet with detailed information.
- Review referral patterns, volumes, and service delivery.
Marketing and Referral Services
- Build rapport with referring physician practices to facilitate timely access to JHH services
Patient Education
- Provide essential information, hotel accommodation locations and traveling directions to JHH facilities.
Equipment, Machine, or Tool Requirements:
- General computer skills, with experience with Microsoft Office.
- Manually operate a personal computer and use complex software to access and manually input data.
Minimum Qualifications (Mandatory):
- HS Diploma or GED.
- Requires a minimum of five (5) years of progressively responsible related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*
* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Special Knowledge, Skills, or Abilities:
- Must have excellent customer service skills.
- Requires exceptional interpersonal and communication skills with patients, families, physicians, and other health care team members in order to foster optimal quality of outpatient care.
- Speak in a clear, pleasant, and understandable manner via telephone and/or in person.
- Computer skills and organizational skills required.

Starting Hourly Pay Rate Range: $17.59 - $24.80/hr (commensurate with experience)
