We are seeking a Program Specialist, Internal Knowledge Management who will provide programmatic and administrative support to one or more programs and center-wide initiatives. The Program Specialist may serve as a programs consistent link between headquarters and other locations (domestically or internationally), and provide the day-to-day problem solving, writing and editing, and procurement processing programs require. Program Specialist may travel domestically or internationally to assist with technical and programmatic activities as directed.


This position of Program Specialist, Internal Knowledge Management is responsible for implementing and coordinating CCPs internal Knowledge Management activities. The primary vehicle for internal knowledge management is CCPs intranet, known as the Hive. The Program Specialist for Internal Knowledge Management will be responsible for the administration, functioning, user assistance, and user training for the Hive. Other knowledge management initiatives, projects, and activities will be developed with guidance from CCPs Knowledge Management experts and will be coordinated by the Program Specialist for Internal Knowledge Management.

Specific Duties & Responsibilities


Program Management

  • Manage program backstopping with direction.
  • Format, edit, and produce documents and presentations as needed.
  • Contribute to work plans, reports and budgets.
  • Act as a liaison for consultant activities, ensuring statement of work, contracts, and deliverables are in place.
  • Initiate, track and monitor procurements and contracts and other administrative and programmatic documents.
  • Work closely with finance and administrative staff to ensure timely and complaint spending.
  • Maintain frequent, open, ongoing communication with program team members in all locations (offsite, headquarters and internationally)
  • Adhere to JHU/CCP and donor rules and regulations and policy.
  • Upload and save deliverables on relevant knowledge management platforms.


People Management

  • May, with direction, manage student employee work.
  • Assist in orienting and training student employees.
  • This position has no assigned supervisory duties.


Technical Work

  • Contribute to technical work including strategies, toolkits, communication materials, scripts, job aids, and websites with direction. For this role, Technical Work is Internal Knowledge Management. Specific duties include,
    • Convene and coordinate a CCP Internal Knowledge Management working group.
    • With that groups guidance and input, put together a CCP Internal Knowledge Management Strategy, including intranet guidance and approaches plus other KM approaches and activities.
  • Manage, maintain, update, and troubleshoot CCPs intranet. 
  • Manage the homepage to maintain a proper balance of content according to intranet guidance.
  • Oversee authoring and proper use of online channels for official news according to internet guidance.
  • Facilitate projects to improve sections of the intranet or deliver new applications by working with space and sub-space admins.
  • Monitor user-generated content for appropriateness according to intranet guidance.
  • Regularly analyze and report key metrics/activity to the appropriate governance team and include recommendations for improving performance. Performance includes number of unique views, search results, speed of the intranet and anecdotal user feedback.
  • Identify issues and recommend fixes, enhancements, and changes.
  • Liaise with knowledge management teams and software vendors on technical questions or implementation and upgrades.
  • Manage common administrative tasks in the intranet software.
  • Work closely with key stakeholders to understand their needs and involve them in planning and problem solving (including Communications, HR, Programs, Finance, as well as executives and administrative staff)
  • Coordinate the intranet efforts and actions of central content owners. Support intranet group owners in maintaining active communities and facilitate a quarterly gathering of content owners to review periodic updates, best practices, and gather feedback.
  • Communicate actively with stakeholder and user groups.
  • Provide introductions and training to users of all different levels of users (including average, content owners, news authors, group owners)
  • Update content, fix misdirected, and broken links on intranet.
  • Detect, track and trouble shoot any issues on the intranets.
  • Proactively recommend new web tactics and projects based on data results and industry trends.


Professional & Organizational Growth

  • Assist with center-wide initiatives with support.
  • May include brown-bags, communities of practice, etc.
  • Assist with proposal coordination with direction.
  • May represent JHU/CCP at relevant external meetings and events.
  • May include networking and relationship building.
  • Stay abreast of technical updates in your field.
  • Professionally engage and collaborate with other programs across the Center.
  • Proactively seek opportunities to expand leadership and management skills.
  • Complete at least two JHU training courses related to job duties per year.
  • Request or initiate quarterly check-in meetings with supervisor to assess performance, strengths and areas for improvement in your current position, and establish professional goals.
  • Work with senior staff and peers to identify opportunities for professional development, including JHU courses and seminars, conferences, etc.


Minimum Qualifications
  • Bachelor's Degree required.
  • Two years related experience and/or training.
  • Minimum 3+ years of experience in managing enterprise-wide content management system (CMS) platforms for medium scale websites, experience documenting requirements for changes and ensuring brand guidelines are maintained.


Special Knowledge, Skills, & Abilities

  • Basic understanding of the components of common web technology (HTML, CSS, Javascript).
  • Excellent communication and cross-cultural skills, both written and verbal.
  • Project management skills to plan well for the immediate, and near, to keep a pipeline of content available.
  • Experience in SharePoint online and Microsoft Office 365.
  • Adept at learning a new tool to construct pages with widgets based on content needs and design requirements.
  • Must have strong attention to detail.
  • Working knowledge of website best practices around user experience and content updates.
  • A flexible nature and the ability to perform and provide strategic insight and growth within an ambiguous environment.
  • Patience troubleshooting and training people at all different levels of technological competence.
  • Resilient and able to thrive in a fast-paced environment with a high level of energy.


Preferred Qualifications
  • Masters Degree preferred.
  • International experience preferred.
  • French language abilities preferred.
