We are seeking a Sr. HR Coordinator who will report to the Human Resources Manager and provides professional human resources and personnel support to the faculty and staff in the Department of Orthopedic Surgery. This role regularly interprets and communicates policies and procedures, serves as the primary point for payroll relates issues and works under the guidance of the HR Manager and Central HR to provide employee relations support, as needed. In addition, this position oversees the department personnel records, database management, coordinating job postings and new hire orientation. The Sr. HR Coordinator provides support for Faculty, Residents, Fellows, Students and visiting scholars, as requested by the HR Manager. The Sr. HR Coordinator is responsible for performing duties of a sensitive and confidential nature.


Specific Duties & Responsibilities

  • Serves as primary point of contact for employees, faculty, staff, students, post-doc, fellows for all payroll-related matters, including new hire documentation and weekly timesheets for hourly employees.
  • Advises on payroll policies and procedures and works to address all matters in a timely, efficient and accurate manner.
  • Assures that payroll is processed timely and accurately.
  • Maintains system to track faculty and staff payroll information and generate reports to members of school leadership, as requested.
  • Implements system to monitor and resolve payroll issues, including: supplements, merit increases and termination. Works to proactively monitor and retrieve overpayments.
  • Runs weekly, monthly, and/or quarterly reports in SAP. Provide summary and report concerns to appropriate leadership.
  • Facilitates annual merit increases and annual performance review process, as well as 90 day and 6 month review activities. Advises supervisors of deadlines pending and ensure they are conducted and processed in a timely manner.
  • Coordinates actions with HR Shared Services to meet special needs of the department.
  • Coordinates logistical details related to SAP Internal Service Requests (ISR) and serves as primary processor of those transactions.
  • Works with HR Manager to manage the logistics of 120-day and annual reviews. This includes coordinating the distribution, documentation and processing of the reviews and facilitating interactions between HR and the supervisors.
  • Assists HR Manager with employee relations process, grievance processes.
  • Assists HR Manager with the recruiting, new hire and termination process of all faculty, post-docs fellows and staff.
  • Assists with coordinating candidate interviews, complete reference verifications as needed.
  • Collaborates with the HR Manager to facilitate new hire orientation and onboarding activities. Ensure new hires have smooth transition into their position through introductory period activities and check-ins.
  • Identify and resolve staff/faculty salary overpayment issues.

                oTrack overpayments/locate errors and causes.

                oPrepare overpayment reconciliation and letters.

                oCoordinate collection and repayment plan.

  • Processes new positions and employee information into SAP system.
  • Coordinates placement of temporary staff as needed.
  • Coordinates orientation schedule for new staff.
  • Ensures organizational charts are continuously updated.
  • Maintains and manages personnel files for all new hires and terminated employees. Schedule exit interview for terminating employees and coordinate retrieval of badge, keys, computer, questions about final paycheck, etc.
  • Digitalizes personnel files as needed.
  • Provides assistance in the visa process for international faculty, fellows, and staff. Family and Medical Leave (FML): Assists HR Manager in the processing of FML. Works with staff member to obtain general information about FML related issue. Compiles documentation in specified timeframe and provide to staff and records department.
  • Tracks and updates FML determinations and changes. Ensures that all FML related time is tracked in the E210 system. Works with HR Manager on FML problems.
  • Serves as primary point of contact for staff and students for time and attendance. Maintains and updates E210 time tracking system. Works with hourly employees to accurately track their time thru the weekly time sheet. Coordinates with HR Manager and hiring managers to support the process of tracking staff sick time, vacation, FML, short-term disability, and long-term disability.
  • Participates in employee relations efforts on a school-wide basis. Works with the HR Manager to develop departmental policies and procedures that comply with those of the University. Provides assistance in disciplinary actions and assists in researching issues and gathering sensitive information.
  • Composes, edits, types, and distributes various form letters and correspondence as necessary. Creates proactive templates and guides for supervisors.
  • Completes exit interviews, provide summary reports and suggestions for retention.
  • Performs all related duties, as requested.


Special Knowledge, Skills, & Abilities

  • Working knowledge of federal, state and local laws and regulations in human resources and working knowledge of emerging trends and practices in human resources.
  • Ability to work collaboratively with others both within and outside human resources. Organized and results oriented.
  • Ability to work in complex, fast paced environment with multiple tasks, short deadlines, and pressure. Strong communication, presentation, and written skills.
  • Problem solving and decision making skills.
  • Ability to work independently and effectively with all levels of employees.

Minimum Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, or other related field.
  • Three years related experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
