We are seeking a Budget Assistant. Under the direction of Senior Administrative Manager provide financial and administrative support for Institute for Clinical and Translational Research (ICTR) Clinical Research Units (CRU). This position is responsible primarily for invoicing all the Service Centers under the Clinical Research Units including the following: BV & JH Adult Core, PCRU, ICTR Nutrition and the Bayview Core Laboratory.


Specific Duties & Responsibilities

  • Directly reports to the Sr. Administrative Manager.


iLab's

  • Invoice all services performed in the Clinical Research Units service center. 
  • Assign each visit with appropriate budget number.
  • Maintain shadow system of all investigators, studies, and budget numbers.
  • Invoice in iLabs.

 

SAP

  • Create journal entries Into SAP to bill for services when needed.
  •  Move revenues expenses when necessary.
  •  Maintain an organized filing system of all source documents with document Numbers.
  •  Process payments for all outgoing invoicing.
  •  Generate SAP sponsored and non-sponsored financial reports including financial summaries, financial details and revenue & expense reports.
  •  Assists in the monthly reconciliation of all accounts under the CRUs.
  •  Maintain service agreements for all CRU service center service agreements.
  •  Create shopping carts in SAP for ordering office, patient care, research supplies and equipment.
  •   Ensure all purchases and expenditures comply with university regulation and restrictions.


Administrative

  • Schedules monthly meetings for CRU administration, CRU Program Directors meetings and other necessary meetings.
  • Maintain CRU conference room calendars.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Two years of related office/clerical experience.
  • Related coursework at the college level may substitute for experience to extent permitted by the JHU equivalency formula.


Preferred Qualifications


Special Knowledge, Skills, & Abilities

  •      Strong time management skills.
  •      Ability to read and understand financial reports Excellent communication (written and oral), organizational, interpersonal, and customer service skills are required.
  •      Experience with Microsoft software applications and willingness to learn various JHU software programs, including SAP financial system and iLabs.
  •      Strong analytical, problem-solving and accounting skills.
  •      Excellent verbal and written communication skills are required.
  •      Demonstrated ability to use discretionary judgment and maintain confidentiality in working with financial and budget information.

  •      Ability to sit for long periods of time.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis.
