Friends School of Baltimore has an opening for an Admission Office Manager to support our work with prospective and current families through all aspects of the admission and enrollment process.  The Admission Office Manager plays an essential role in welcoming new families to the school community and  also runs the daily operations of the Admission office.  It requires someone with excellent customer service skills who is highly organized and can work in a fast paced environment.   

Responsibilities
The Admission Office Manager also provides administrative support to the Enrollment Management functions of the school (admission and marketing/communications) which include: 

  • Support the operations of the Admission and Marketing departments
  • Open the Admission office each morning, answer phones and greet prospective families.
  • Assist families as they navigate the online admission process; including account set-up.
  • Handle incoming telephone calls and messages.
  • Provide support with creating reports and providing data, as needed.
  • Upload and process admission materials.
  • Compile and maintain the Admission Office calendar; including scheduling meetings and interviews
  • Assist admission counselors with scheduling visits 
  • Maintain and order all admission materials and supplies
  • Complete purchase orders and timesheets
  • Maintain Admission and Marketing/Communications staff calendars and timecards
  • Input, maintain and report on admission data to both internal and external audiences
  • Issue enrollment contracts and send admission communications.
  • Build and manage registrations for all admission events. 
  • Support Director of Enrollment Management work with all financial aid and scholarship programs
  • Attend required admission meetings, workshops and events, including occasional weekends and evenings.
  • Assist in preparation for admission open houses, tours, new family events and other admission events throughout the year. 
  • Handle sensitive information with confidentiality and integrity.
  • Other duties as assigned

Qualifications

  • Prior administrative, customer service or sales experience (2-5 years) in a busy and competitive environment. Previous experience in admission or independent schools is a plus.
  • Excellent organizational, interpersonal and communication skills
  • Proficiency using Microsoft Office and Google Suite. Some knowledge of database systems
  • Demonstrated ability to work effectively as part of a team and respond with flexibility to changing situations and demands
  • Demonstrated cultural competency, understand and support Quaker education and  inclusive community building efforts
  • Bachelor’s Degree preferred

  • Excellent interpersonal skills - good written and verbal communication with prospective families, school personnel and other schools and organizations, promoting and representing the school in a positive and professional way
  • Strong time management skills - ability to multi-task and reprioritize quickly while dealing with queries and questions in a calm and professional manner
  • Excellent attention to detail and follow-up
  • Knowledge of financial aid software or the ability to learn
