The Johns Hopkins School of Education's Institute for Innovation in Development, Engagement, and Learning Systems (IDEALS) is focused on promoting high-quality early learning, developmentally appropriate care across the life-span, and impactful educational practices.
We are seeking a motivated and self-directed Procurement/Purchasing Administrative Support Specialist who will provide the center general operational support. This support will range from activities in support of purchasing and procurement of resources to inventory management, analyzing operational expenses to support forecast planning, inventory and supply closet management and executive administrative support of special projects and events.
Specific Duties & Responsibilities:
- Coordinate with JHU procurement and IDEALS in setting up new contracts with vendors
- Purchase approved expenses to include creation of shopping carts, purchase orders, JHU eMarketplace and other purchasing and procurement options
- Manage purchase card (P-Card) purchases and reconciliation for three P-Cards (Operations, Technology and Marketing)
- Coordinate with various JHU agencies to procure services such as zoom, telecommunications software, etc, for staff
- Analyze and report annual projected expenses to finance team for forecast planning
- Coordinate staff travel planning and reimbursement through the Concur application
- Provide Concur user support to IDEALS' staff
- Coordinate with SOE-IT staff for the ordering and provisioning of staff computer equipment
- Manage inventory of the Center's and staff's computer equipment
- Lifecycle analysis of equipment to identify and report to finance staff for planning replacements and updates
- Monitor mail room and coordinate distribution of mail
- Manage the organization of the supply closet
- The ability to lift boxes up 50 lbs.
- Provide administrative support to the Executive team on special projects and events
- Must have availability to be on-site to assist in special events as needed, and may have weekend and evening work as required
Minimum Qualifications (Mandatory):
- Bachelor's Degree in Finance, Accounting, or other related field
- One year of related progressively responsible experience
- Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula*
* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
** Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date.
Preferred Qualifications:
- Three years of procurement and purchasing experience
- Experience with JHU procurement and purchasing systems
Special kKnowledge, Skills & Abilities:
- General knowledge and understanding of The Johns Hopkins University procurement and purchasing systems and processes
- Able to work self-reliantly when given set processes or general guidance
- Able to make decisions, within pre-determined guidelines and parameters
- Able to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines
- Able to understand when additional direction/expertise is needed on matters of complexity
- General understanding of Microsoft Office programs (excel, word, etc.)
- Strong organizational and analytical skills, problem solving abilities and attention to detail required
- Strong interpersonal and communication skills, both oral and written
- Motivated and self-reliant
