Under general supervision, provide complex administrative support to the Physician Assistant (PA) Studies Program in the College of Health Professions. This position requires the development of comprehensive knowledge of tasks involving travel reimbursement, basic supply requisitioning, meetings/events organization, as well as the general oversight of multiple priorities in a fast-paced work environment. Employee will acquire basic awareness of the programmatic requirements and work will be accomplished in collaboration with the Program Director and Program Specialist.
Provide excellent customer service including answering phones and responding to program inquiries. Triage students, faculty, and visitor needs within the PA Program, providing basic information based on Program requirements, college and university policies and procedures. Screen calls for the Program Director, faculty, and Program Specialist, making appropriate referrals to faculty and staff. Edits, formats, and revises a variety of documents and materials; proofreads for grammatical and content accuracy; produces reports and tables; edits and prepares draft documents for final copy, including edits from multiple reviewers; formats according to university branding guidelines; and maintains private and confidential records and communications. Handle incoming/outgoing correspondence and draft routine correspondence of a general and non-technical nature to stakeholders. Edit Program Director’s confidential correspondence as requested. Manage the Program Director’s calendar. Assist with printing, filing, organizing and maintain files for multiple purposes, including personnel, student, budget/purchasing reports, inventory, and ARC-PA accreditation. Review and approve travel expense reports. Assist with coordinating meetings and events for the program (location, food, parking, RSVPs, etc.). Attend meetings as requested for sign-in support, minute taking, and general trouble shooting. Compile materials for meetings and track meeting follow-up data (i.e. minutes) as needed. Provide support to the Program Specialist and Director in building and maintaining of semesterly class schedule, including inputting classes into CLSS, and managing room reservations. Assist with marketing efforts (prepare electronic and hard copy mailing), recruitment efforts, and serve back-up as Program website editor. Order supplies as needed for recruitment, preceptor retention, and programmatic needs. Support the program with other administrative duties as needed.
- High school diploma or equivalent.
- Three years of experience providing administrative support.
- The selected candidate must have good time management and work prioritization skills, the ability to multi-task, and superior customer service over the phone, via email, and in-person.
- Applicants must have proficient computer skills in Microsoft Office and the ability to learn TU systems (PeopleSoft, Taleo, etc.).
- Effective communication style and ability to defuse stress is required in the department's busy office setting.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
