We are seeking an Administrative Coordinator who will provide high-level administrative, clerical, and project support to the Materials Characterization Processing (MCP) Core Facility in the Department of Materials Science and Engineering (DMSE), Whiting School of Engineering. This role must maintain confidentiality and professionalism at all times, comfortably taking initiative and exercising independent judgment to resolve issues. The position will report to the Director of the MCP, Director of Operations of the MCP, and the Administrative Manager of DMSE.
Specific Duties & Responsibilities:
Administrative (75%):
- Provide high-level administrative support to the Director of the MCP, Director of Operations of the MCP, and users of the MCP.
- First point of contact for MCP as individual is located at the front desk. Deals with inquiries independently.
- Manage the calendar for the Director of the MCP. Understand the priorities and goals of the MCP to accurately manage conflict-free electronic calendars for multiple meetings and manage frequent requests.
- Schedule meetings, make appropriate arrangements for all MCP related meetings, independently compile and prepare materials, confirm meeting details and assist with communication and other details as needed. May be asked to take minutes and dissimilate to the appropriate audience. Manage the use of the MCP conference room, computer lab room, and any other area related to the MCP. Also assists in scheduling room use outside of the MCP for the Director and Director of Operation and the staff. Orders meals and coordinates delivery for meetings as needed.
- Organize MCP functions and meetings and provides complex administrative support for the entire group.
- Provide wide range of administrative support to include: word processing, ordering supplies, meeting preparation, travel arrangements, filing, time sheet/attendance tracking, P.O. processing, and iLabs management.
- Perform a variety of both complex and routine duties such as but not limited to the following: creating letters, spreadsheets, reports and may assist in development of presentations; maintaining and updating website, create and maintain flyers and signage. Assist with promotional and marketing materials for events and overall MCP activities.
- Provide administrative support, as needed, for MCP programming and research faculty/staff searches; including interview schedule and travel arrangements.
- Assist MCP users with basic iLabs questions and scheduling. Assist in billing questions and system updates.
- Assist in Visiting Scholars/Scientists/Researchers request for courtesy appointments
- Maintains and assists with electronic and physical records through scanning, filing, retrieval, retention, storage, compilation, coding, updating and destruction.
- Receives and distributes all mail and packages. Responsible for mailing out mail/packages and receiving from central receiving/direct from FedEX/UPS/DHL/USPS/ or other carrier
- Manages the distribution and return of MCP keys and/or Jcard access.
- May assist with special projects including special events and committee involvement.
- Provide screening of telephone calls, answering questions from faculty, students, and staff, , providing information and guidance to visitors.
- Operate office equipment such as computer, photocopier/scanner, fax machine; and coordinate the servicing of equipment.
- Assist with the coordination of office moves/renovations, repairs and maintenance. Point of contact for housekeeping and facilities requests and coordination.
- Develop and maintain working relationships across the institution (University, DMSE and the Whiting School of Engineering) to facilitate the work of the Division.
- Other duties as assigned.
Financial & Other (25%):
- Assist with requests from DMSE Admin Manager and MCP Director of Operations involving researching, compiling data, bookkeeping and payroll assistance, and some data analysis may be required.
- Working with the DMSE Admin Manager, assist with MCP budget process including reconciling discrepancies in financial statements, inputting and receiving financials.
- Assist MCP users with basic iLabs questions and scheduling. Assist in billing questions and system updates.
- Process MCP related bills/travel reimbursements.
Minimum Qualifications (Mandatory):
- High School Diploma/GED.
- Three years related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*
* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications:
- Bachelor's Degree.
- Five years related experience.
Special Knowledge, Skills & Abilities:
- Knowledge of office administration, record keeping systems, effective scheduling and administrative support services and skills.
- Experience working with various software applications such as Microsoft Office (Word, Excel, Power Point, and Outlook) is required.
- Working knowledge of SAP related to reimbursements, online payments, and shopping cart, including tracking of payments through approval process and trouble-shooting when problems arise. Knowledge of JHU financial and administrative policies and procedures preferred.
- Strong verbal and written communication skills; with the ability to communicate effectively with a broad cross-section of clients.
- Must be collaborative with excellent interpersonal and customer service skills.
- Ability to perform basic internet research.
- Excellent organizational skills, analytical and problem-solving abilities, and attention to detail.
- Ability to work for long periods of time without direction, prioritize own work and to work with flexibility on several tasks simultaneously in order to meet various concurrent deadlines.
- Ability to take initiative and exercise independent judgment to resolve administrative problems.
- Ability to work effectively with students and all levels of faculty, staff, and administration within the University as well as external contacts and visitors including alumni and industry partners.
Level Independent Decision Making:
- Must be able to make strong administrative decisions during the absence of leadership.
Technical Qualifications or Specialized Certifications:
- Be able to use Word, Excel, and Powerpoint.
- Schedule appointments and meetings.
Physical Requirements:
- Be able to lift reasonable sized boxes/packages as needed.

Starting Salary Range: $17.59 - $24.80/hr (commensurate with experience)
