The Admissions Department seeks an Admissions Counselor  (Admissions Officer) who will work under general supervision, and report to the Director of Admissions, and will assist in all aspects of the recruitment process for the Peabody Conservatory Admissions Office. This role assists with the recruitment and evaluation of candidates for admission and oversees a portfolio of instrument/major areas as well as assists the director in managing day to day operations.

 

The Admissions Counselor provides leadership and collaborates with faculty in the development of recruitment and marketing strategies in their respective portfolios. They schedule auditions, counsel prospective students and parents, produce reports, develop metrics for tracking recruitment data and evaluate the success of recruitment efforts. They also travel in support of recruitment, and supervises student workers.

 

 Specific Duties & Responsibilities:

  • Serves as a point of contact for prospective students and parents, and counsel's applicants on the admission and audition process, develops all correspondence, and tracks students through the admission funnel.
  • Works with DOA to maintain a network of feeder schools, teachers, and other influencers, and other organizations that have the potential to produce applicants for the Conservatory.
  • Manages a recruitment portfolio of approximately one-third of the applicant pool and associated faculty. The process involves direct collaboration with departments, faculty, and applicants, resulting in the collection of trend data to support the scholarship awarding process, while also developing predictive models to support enrollment management at Peabody. Participates in the development of the Strategic Recruitment Plan for the Institute.
  • Travels within the continental United States to recruit students, which may include college fairs, summer festivals, arts high schools and youth orchestras.
  • Creates the audition calendar for the website.
  • Coordinates on-campus tours.
  • Assists with scheduling of auditions and reserving of rooms for audition week.
  • Works with Assistant Director of Admissions on Slate-related functions and development as needed.
  • Handles and responds to contacts by phone, email, and personal visits providing students and parents with information on admission policies and procedures.
  • Schedules and registers DOA and staff conferences and college fairs.
  • Assists with the coordination of events such as open houses.
  • Assists in creative outreach projects directly serving the admissions office prior to and during audition week.
  • Oversees training and supervision of student employees.
  • Coordinates printing and shipping of all admission mailings.
  • Handles purchasing of materials through the SAP system; supports T-Card and P-Card usage by admissions team.
  • Works with DOA to edit and maintain all brochure and marketing materials.
  • Handles travel reimbursements for DOA.
  • Works with marketing to maintain admissions portion of website.
  • Works on admissions-related research projects as needed.
  • Works with DOA and staff on student studio placement.
  • Assists with the coordination Audition Week, the pivotal recruitment event for Peabody involving the scheduling and hosting of @ 1800 students and their families within a week's period. Involves complex scheduling with faculty, parents and prospects on many levels.
  • Assists in the hiring and training of staff and student workers.
  • Performs other relevant duties as assigned.

 

Minimum Qualifications (Mandatory):

  • Bachelor's Degree and one year of related experience required.
  • Two years of relevant office or admissions work preferred.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*

 

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Fundamental knowledge of classical music; experience in admissions.
  • A Bachelor's Degree in music is strongly preferred.  

 

Special Knowledge, Skills & Abilities:

  • Ability to travel: ability to multi-task, and to demonstrate excellent judgment in complex situations.
  • Demonstrated aptitude with technology and software, including MS Word, Excel.
  • Excellent customer service and communications skills.
  • Ability to work as part of a team, to work independently, to work with a diverse clientele and to maintain confidentiality.
