Reporting to the Tuned-In Program Director and working closely with the Tuned-In Curriculum and Engagement Director, the Program Coordinator, Tuned-In and Baltimore-Washington Music Pathways will provide programmatic support and strategic administration for the Peabody Preparatory’ s flagship scholarship program, Tuned-In, and the newly created Baltimore-Washington Musical Pathways (BWMP) program. Both programs aim to provide inclusive scholarship and resources for music instructional experiences and social support for talented and highly motivated students from Baltimore City and surrounding areas
Currently serving 80 students ranging in age from 6-18 years of age, the Tuned-In program offers full Peabody Preparatory scholarships supporting weekly private lessons, large ensemble experiences, chamber music coaching, theory instruction, summer learning opportunities, performances opportunities, master classes, concert attendance, and for more advanced level of students, opportunities to perform and travel. This new role will oversee the learning experiences for all students and families in the Tuned-In program.
In addition, this new role will also oversee the learning experiences for all students and their families in the Baltimore-Washington Musical Pathways (BWMP) program. This new program will enroll its initial cohort of 10 students this fall. The BWMP is a new collaborative initiative that seeks to champion a collective approach to diversifying American orchestral classical music and musicians. The program is funded through a visionary grant from the Andrew W. Mellon Foundation. This initiative brings together key partners from the Baltimore-Washington region—the Peabody Institute of the Johns Hopkins University, the John F. Kennedy Center for the Performing Arts and the National Symphony Orchestra (NSO), the DC Youth Orchestra Program, and Levine Music— and seeks to transform the field of classical music through their sustained and combined efforts to support and serve young musicians from diverse backgrounds who aspire to careers in music.
Through the BWMP, talented and highly motivated students from the Baltimore and Washington, DC areas will receive an immersive intensive high-quality conservatory track mentoring and instructional experience provided by the region’s leading instructors with additional opportunities to work with musicians throughout the world. Students will receive weekly private instruction, opportunities to collaborate with regional youth orchestras, master classes with professional musicians from the NSO, BSO, and Peabody Conservatory, side-by-sides and on-stage performing, and attending professional concerts. BWMP will offer experiential opportunities including regional convenings, internal and external summer learning, immersive cultural experiences, coaching support, instrument support, and support for parents and families as students develop and deepen their musical learning. The BWMP program aims to create a pathway that is supportive as possible including wrap-around services tailored to each student’s individual needs. BWMP is excited to bring in other organizations whose missions align with the work of the collective to provide experiences and services outside of the cohort’s purview.
The mission of the Baltimore-Washington Musical Pathways (BWMP) is to prepare and support student musicians in grades 8 through 12 from communities historically underrepresented in U.S. orchestras for study at music conservatories or as music majors at four-year colleges and universities, leading eventually to professional opportunities with the country’s leading ensembles.

Will perform the following duties for two programs: Tuned-In and Baltimore-Washington Musical Pathways (BWMP)
Under the direction of the two program directors this position is responsible for the strategic administration and program coordination for these two new high visibility key programs
Working with the Tuned-In Directors, create individual learning plans for each student, and communicate these plans to each individual student and their families. Track and maintain student database ensuring updated and accurate student learning plans are available for staff, faculty, students, and parents.
Working with the Tuned-In Directors, assist with the recruitment, coordination of auditions, and placements of all new Tuned-In students.
Coordinate new and returning students and family orientations.
Working with the business office, coordinate and input Tuned-In registrations in ASAP, the Preparatory’ s online registration system.
Coordinate with Education Manager on any room scheduling needs for the program.
Provide day-to-day support to Tuned-In students and families and visible onsite in-person support on Saturdays.
Track and maintain weekly student attendance. Follow up with families, teachers, and students regarding absences. Maintain a file of all correspondence regarding attendance. Communicate any schedule changes or events which need to be highlighted to Tuned-In students and families.
Oversee and coordinate shuttle service bringing Tuned-In students to and from campus.
Assist in planning and coordinating all trips, excursions, events, and performances. Attendance may be required, to provide additional support and supervision.
Assist in facilitating off campus summer learning experiences such as Interlochen, Tanglewood, etc. including travel and program attendance. Work with students and families on preparing applications and audition materials.
Assist in planning and implementing a 1-2 week on campus summer experience for Winds, Brass, and Percussion Tuned-In students including travel and program attendance.
Provide additional support to high school juniors and seniors and their families with the college audition and application and material preparation process.
Order music and supplies for Tuned-In students and submit invoices for payment. Track these expenses for Tuned-In.
Works with the ensemble office to maintain instrument data base and contracts
Coordinate Saturday Support Staff hours and work plan
Work with the Tuned-In Directors on securing guest artists, clinicians, and sub-contractors for the program, and with the Preparatory’ s Sr. Administrative Coordinator to hire and pay artists.
Works with the Peabody Institute’s Concert and Ensemble office coordinate all instrument loans or purchases for Tuned-In students and coordinate any required repairs.
Works with IT to purchase and distribute one-time technology support for Tune-In students
Works with Communications and Marketing to develop and maintain a website, social media, and marketing materials.
Foster and Maintain lines of communication and relationships with community partners to identify and assist with recruiting new students into the program.
Work with student’s school partners to assist with any academic issues that may arise and ensure that students are also maintaining their academic commitments.
Maintain the “tuned-in” email account.
Represent Peabody at all Baltimore-Washington Musical Pathways (BWMP) partner meetings.
Working with the Director of the Preparatory and Tuned-In Directors on curating and hosting the Baltimore convenings for the BWMP program.
In addition to working with student’s school partners to identify any academic deficiencies, coordinate to provide students with additional academic support, as needed.
Working with the Director of the Preparatory and Tuned-In Directors on the creation and launching of an Advisory Committee for Tuned-In and BWMP program.
Bachelor’s degree in music, music education, or other related degree required.
2 years of program coordination or other relevant work experience required. 3-5 years of relevant work experience preferred.
Work experience with students and families from socioeconomically disadvantaged communities, the El Sistema program or similar programs strongly preferred.
Demonstrated and working knowledge of Microsoft Office 365, including, but not limited to Word and Excel.
Effective communication and interpersonal skills to support working with students, faculty, staff, vendors, donors, and guest performers as necessary to perform the job.
Ability to work Tuesday through Saturday and some evenings and Sundays according to the event schedule.
Demonstrated ability to manage program/organization social media presence
Excellent attention to detail and strong organizational skills, including the ability to handle multiple tasks simultaneously and consistently meet deadlines.
Ability to learn and work with new web-based technologies and organizational tools.
Experience in the arts administration field.
Familiarity with community music school online registration systems.
Familiarity with Arts Vision, OPAS, or other arts management and scheduling software.
Experience with SAP or other financial management software.
Experience with WordPress and Slate.
