The University of Maryland, Baltimore is currently seeking a Senior Academic Services Specialist for the School of Pharmacy, Pharmacy Practice and Science Department.
Responsible for managing day-to-day administrative, operational and technical functions of the School's online Master's Program in Palliative Care. The Senior Academic Services Specialist will lead administrative activities, coordinating, organizing and maintaining the operational and administrative functions of the program. This position is also responsible for serving as a resource for students, faculty and staff by developing and coordinating academic activities, programs, and extracurricular seminars . Provide complex administrative, technical and operational support to the Executive Director of the program. Serve as liaison for the program with the UMB Graduate School and various external faculty content experts and instructors. Partners with a number of units across campus and within the School of Pharmacy Office of Academic Affairs, Computer and Network Services, academic and business offices. Hire and train staff with program growth.

Essential Functions :
Manage administrative activities of the Palliative Care Master's Program with interrelated activities of other programs, departments, or staff to ensure optimum efficiency and compliance with appropriate policies and procedures.
Manage the implementation and maintenance of the distance education program; serve as the liaison between course instructors and technical support services to arrange for lectures to be pre-recorded, including lectures recorded by off-site instructors. May record and edit lectures using program software and equipment.
Develop academic program plan in accordance with specifications and funding limitations. Oversee daily operations and coordinate activities of the Palliative Care Program.
Provide daily support for existing students; work with faculty to address student inquiries (e.g. technical support, library computing, registration issues, and deadlines). Serve as initial advising contact for potential and existing students regarding issues concerning four program tracks and requirements. Track and communicate with students on program progress and issues.
Confer with and advice staff, students and others to provide technical advice, problem solving assistance, answers to questions, and provides policy interpretation. Refer issues to appropriate department person when unable to respond.
Ensure students are progressing through courses appropriately and academic success. Assist students with inquiries relating to their enrollment, such as selection of classes. Direct students to resources that will aide in their success.
Develop, compile, and write program or coursework communications and promotional literature for distribution such as newsletters, brochures or flyers.
Maintain or coordinate with experts to maintain and update program website. Work with Executive Director in developing program goals and milestones.
Participate in marketing strategies to recruit new students to include advertising and marketing logistics and planning; travel for onsite recruitment if necessary; communicate with prospective students through email, phone, and web, including facilitating matriculation.
Prepare periodic reports, financial statements and records on academic program activities, progress, status or other special reports for management or outside agencies.
Provide input for the operating budget; manage and track spending, and provide financial reports . Oversee all program expenses, including payment of faculty instructors, guest speakers, and office supplies, etc.
Serves as a liaison between students, faculty and department staff regarding payroll, benefits, reimbursements, and other administrative matters.
Gathers material and interprets data to prepare recurring administrative reports. Analyzes internal processes, technology, equipment and supplies, and implements changes to improve operations. Support program; integral in compiling and analyzing program data for assessment purposes.
Evaluate program effectiveness to recommend improved methods.
Perform other duties as assigned.
Education: Bachelor's degree in Business Management or related field.
Experience: Five (5) years of administration of a program, preferably in higher education or healthcare setting.
Preferred: Master's degree in distance learning. Previous experience in a higher education environment. Experience with the management, delivery and hands on working knowledge of educational technology, and use of multimedia for online education and marketing.
Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Credit history review may be required.
