The Assistant Director, Enrollment Operations and Analytics (AD EOA) in the Office of Admissions at the Carey Business School is responsible for daily administration of the Admissions CRM (Slate) and general reporting and analytics to meet the real-time needs of more than 7,000 graduate applicants per year. These responsibilities include query building and report writing, building e-mail and other communication, implementing new modules and Slate solutions, ensuring admissions data integrity, and communicating across the department and school to solve business problems. Balancing the needs of admissions end users, applicants, and other internal constituents while optimizing business processes is essential.
The AD EOA is responsible for supervision of two full-time professional staff and up to four graduate assistants on the operations team. Reporting to the Director of Admissions, the incumbent serves as a member of the admissions senior leadership team, playing a critical role in setting strategic direction for the department.
Specific Duties & Responsibilities:
Primary Duties and Responsibilities:
A. Build integrated processes and procedures (45%):
Manage integrated data feeds for test score migration and admissions reports
Build and maintain a paperless admissions process
Build work flow procedures and processes for integration with Hopkins Student Information System (ISIS) and Slate.
Build and maintain Slate portal for admitted students
Research and implement new Slate modules and solutions as business needs demand
Implement a predictive modeling solution for enrollment management
Develop quality control systems for data integrity
Create procedures for credential evaluation for more than 4000 international applicants a year and oversee the authenticity of these evaluations
Resolve system breakdowns to the online application and CRM in collaboration with IT and Data Management team
Collaborate with Online Program Management partner to streamline processing of application documents for part-time programs. Serve as primary liaison to OPM operations lead.
Work with internal Carey Business School partners (i.e. IT, Data and Reporting, Financial Aid, Student Services, Registrar’s Office, Academic Advising, and Career Development) on projects where Admissions data is crucial to their success.
Serve as primary Carey Admissions liaison to the Student Services Excellence Initiative (SSEI), the JHU central office that manages the Slate instance university-wide.
Collaborate with Marketing on the delivery of automated communications
Document processes and policies
B. Performance Management (25%):
Responsible for hiring, training and development of a team of two full-time non-exempt staff members and up to four graduate assistants.
Work with associate director of admissions, enrollment management to identify assistance enrollment management team can provide at peak application times.
Develop clear direction for staff, and manage employee workloads daily
Maintain positive work environment and motivation among team member
Develop CRM training materials for new Admissions staff
C. General Administrative Duties (20%):
Oversee Operations responsiveness to prospective student, applicant, and student inquiries that come in by e-mail and phone. Assist with responses during peak periods, as necessary.
Maintain a thorough knowledge of existing and new admissions systems and mandates (remain updated on best practices in the graduate admissions industry and new technologies)
Work collaboratively with the Registrar’s Office and Academic Advising to process graduate special student applications, re-admission, and reinstatement applications.
Compile data and prepare reports as needed
Serve as the liaison with third party-vendors such as the World Education Service, ETS, and the Graduate Management Admissions Council (GMAC) with regard to data collection and import.
D. Other duties as assigned (10%):
Serve on committees at Carey and University-wide as needed.
Serve as operations liaison with other JHU Schools where Carey has dual degree programs (i.e. Krieger, Bloomberg, School of Medicine, School of Nursing).
Collaborate with other JHU schools on Slate best practices and the maintenance and performance of the shared system.
Attend professional development events as assigned and maintain current knowledge of Slate features and best practices in graduate admissions.
Minimum Qalifications (Mandatory):
Bachelor’s Degree required
3 years’ experience in systems and process management
Master’s degree preferred in business, computer science, or data analytics
Supervisory experience preferred
Special Knowledge, Skills, and Abilities:
Knowledgeable of Student data systems preferably including, but not limited to, SIS and Slate.
Experience in dealing with confidentiality and security of student information and records.
Experience in Microsoft Office and related systems used for recordkeeping data analysis, and management reporting.
