The Assistant Administrator is a leadership role for the SKCCC Solid Tumor Disease Groups (STDGs) including the Thoracic Program at Bayview Medical Center (BMC). In collaboration with the disease group and administrative leadership, the candidate will oversee planning, administration, business development, and the clinical practice of the STDGs. Areas of responsibility include clinical practice operations, compliance, personnel management, marketing, and outreach. Ensures the continued growth of disease groups through business and facilities planning. Partners with financial managers to ensure financial goals of the division are achieved.
Clinical Practice Administration:
Oversees the Oncology practice at BMC including referral services, medical records, scheduling, and registration. Provides effective oversight of personnel at this ambulatory practice site. Collaborates with nursing and physician leadership to ensure efficient support to the clinical practice.
Oversees Faculty Clinical Practice in the STDGs. Formulates overall tactical planning for growth and viability. Monitors, evaluates and implements business practices and procedures to support the day-to-day operational needs of the divisions; analyzes and implement staff structure, capabilities and development to meet the current and future needs of the divisions. Tracks practice activity and effort. Reports RVUs and track compliance. Coordinates the annual charge budget process for the STDGs. Assists with long term planning. Provide comprehensive reporting of all solid tumor clinical activity and clinical productivity.
Administratively manages, hires/fires, oversees orientation and training, trains, evaluates, and develops staff in assigned areas.
Implements systems and controls to ensure timely submission of charges and closing of encounters. Identifies problem areas, analyzes data, and develops performance improvement plans.
Provides on boarding and orientation to the clinical practice to new clinical faculty, clinical fellows and advanced practice providers.
Monitors clinical practice associated key performance indicators; develops tools and processes to achieve institutional standards, including bump rate; schedule utilization, cancellation rate, new patient lag time; encounter status.
Collaborates with Leaders to recruit and manage advanced practice providers. Ensures credentials are approved and maintained; evaluates workload and recommends balanced alignment of practitioner to physician.
Coordinates the timely completion of performance reviews for solid tumor advanced practice providers.
Ensures provider compliance requirements are met prior to initiating clinical activity. Enrolls providers in all required courses including compliance training, Epic training. Ensures proper assignment of roles in all clinical information systems.
Ensures timely dissemination of Compliance Office polices and arranges in-service training when needed. Serves as the administrative representative on Compliance Office remedial training sessions with providers.
Assists providers with the adoption of documentation templates and work habits to ensure compliance with Institutional standards and guidelines.
Assists in strategic planning and special projects. Serves on committees as directed.
Review and prepare business plans for existing units or potential new business opportunities, as requested by Clinical Director and Administrators.
Serves as an Epic user support expert to faculty, clinical fellows, and advanced practice providers. Engages Epic technical support and Epic Application Coordinators to address system related questions and issues. Administratively lead efforts to recommend and guide system enhancements related to the clinical practice.
Works with providers to adopt best practices.
Manages all faculty activities related to the Oncology clinical practice. Develops provider templates, attending schedules, house staff schedules, fellow supervision schedules.
Supervision of Others: Bayview Clinic Manager, Solid Tumor MOCs
BA required in business, finance, accounting, or other related field. Advanced degree in a related field is preferred, and may substitute for some experience, to the extent permitted by the JHU equivalency formula.
Seven (7) years progressively responsible professional-level administrative and financial experience related to monetary or non-monetary resources of a department, center, or unit, including at two years financial management experience.
JHU Equivalency Formula: 18 graduate degree credits may substitute for one year of experience.
