This position will report to an Admissions Officer in the Office of Undergraduate Admissions and will serve as the lead member of the Visitor Center team. He/she will be responsible for communications with the public, interacting with both the Admissions Office and serving as a representative for the University Visitor Center. He/she will supervisor 1 additional member of the Visitor Center team and visitor center student workers and must have strong oral, written communication, and organizational skills.
Essential Job Functions:
GotoJHU Email Account Management
Maintain general admissions email account.
Create schedule for team members who will be assisting with responding to account.
Work with the Marketing and Communications and On-Campus Programming teams to ensure templates are up-to-date.
Serve as admissions representative at front desk.
Create staffing schedule for front desk.
Coordinate ordering of publications as needed for lobby with Marketing and Communications team.
Work with Housekeeping/Maintenance to keep lobby in well-kept condition.
Answer phones for main admissions line.
Create staffing schedule for phone.
Coordinate training with teams across office to ensure information being relayed to families is accurate and up-to-date.
Supervise Student Workers (10+ each semester)
Hire necessary student workers each semester and during the summer.
Create a student schedule for front desk, phones, and information session.
Train student workers on essential Visitor Team functions.
Assist with managing Blue Key Society, the student organization that assists with all admissions events.
Member of On-Campus Programming, Specialized Programming and Yield Working Groups
Tasks as needed to assist with major events for the Admissions Office.
Organizing daily events such as lunch visit programs, coffee chats, engineering tours, and spotlight series events.
Coordinate special tours, including guides.
Assign AOs to session coverage.
Work with Access and Diversity Working Group on CBO visits.
Serve as liaison with other offices using 1st and 2nd floor spaces of Mason Hall
Manage relationships with different departments.
Respond to requests for using the auditorium, conference rooms, etc.
Assist when appropriate.
Identify areas where changes need to be made related to the visitor experience (directions, visit calendar, etc.)
Assist in the creation of a walking/virtual tour for the website
Coordinate accommodations for families with disabilities
Work with company to find interpreter if needed.
Coordinate with tour guide supervisor for families who need accessible tours.
Visitor Calendar Management
Work across staff and teams to establish a visitor calendar (Director of On-Campus Programming, Visitor Center Team, Events Team, etc.)
Maintain updates on phones and web as needed for bad weather or emergency closures.
Create AO on-call calendar for daily information session with Associate Director of the Visitor Experience.
Manage 1 additional full time Visitor Center Team Member
Manage TLC employees as needed
High School Degree required, Bachelor's Degree preferred.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
5 years related work experience required.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Physical Requirements for the Job:
Must be able to stand for at least 3 hours at a time, and ability to lift and carry boxes weighing up to 25 pounds
