We are seeking a Business Support Manager to lead, support and provide direction to the administrative support staff throughout the Institute. In this role, you will evaluate and understand the administrative support needs across the Institute, ensuring division needs are successfully met.
In this position we will use your prior skills and experience to:
Manage and work closely with the Business Supervisors and Administrative Leads.
Engage with Divisions management to discuss the duties and responsibilities to be performed by your support staff team and assist with figuring out appropriate level and number of administrative staff required to meet the needs of the Unit.
Provide ongoing assessment of administrative staff skills, experience and work styles. Ensure that the best fit of resources-to-Divisions is in place.
Provide mentorship and direction to your team on complex projects and/or brings resolution to unusual situations.
Handle requests for and makes assignment of support staff to provide Divisions with routine support and coverage during periods of increased administrative demand.
Administer the copy center contract. Reviews and understands the details of the contract and participates in the renegotiation of services. Plans and coordinates maintenance and repair for photocopiers.
Develop standard office/operating procedures, providing training/educational sessions to staff to ensure adherence.
Lead the group in finding new and improved technologies, processes, etc., for improved service, productivity and cost.
We are searching for highly motivated self-starters who thrive in a team environment and take personal ownership and pride in their work. You should possess the following skills and attributes.
Ten years or more years of office/administrative experience, preferably in a business/technical environment.
Minimum three years supervisory/management experience required.
Self-motivated, team oriented, customer focused and capable of executing multiple projects at once.
Excellent communication skills in order to deal effectively with all levels of employees.
Ability to negotiate, prioritize and build consensus on difficult employee, practice and/or procedural issues.
Ability to identify staff skill levels and build, implement and maintain a plan for continued staff development.
Demonstrate an aptitude for using software tools with a strong proficiency with MS Office, including Excel, Word and Outlook.
Bachelor’s Degree and some management training coursework preferred. Substitution of meaningful education or experience for the stated qualifications may be considered.
Familiarity with Costpoint and various accounting budgeting and reporting packages.
This is a full time position that usually requires a 40 hour work week during standard work hours.

We are the Space Telescope Science Institute in Baltimore, MD, operated by the Association of Universities for Research in Astronomy. We help humanity explore the universe with advanced space telescopes and ever-growing data archives.
Founded in 1982, we have helped guide the most famous observatory in history, the Hubble Space Telescope. Since its launch in 1990, we have performed the science operations for Hubble. We also lead the science and mission operations for the James Webb Space Telescope, scheduled for launch in 2018.
