This position is responsible for supporting the financial operations in the division of Homewood Student Affairs including, but not limited to, the Johns Hopkins Technology Store (the retail component of the HSA Technology Center) and IT Operations. The Budget Analyst will be responsible for budget analysis, financial and operational compliance, credit card and SAP transfers, revenue/expense reconciliations, and detailed financial reporting in a highly transactional business. The Budget Analyst will provide financial and operational support to departments including, but not limited to, desktop support and student IT support; will be responsible for monthly budget analysis, reconciliation, and projections for budgets associated with these areas; authorizing payments and maintaining required documentation associated with the relevant operating budgets, and tasks relating to hiring/terminating student staff, and other duties as assigned.
Essential Job Functions:
Place orders for operating needs and purchases related to divisional IT support daily using SAP and other procurement methods
Coordinate with Account Payable to ensure vendors are paid in a timely manner in consultation with Technology Store staff
Resolve Technology Store invoice/vendor payment issues
Maintain internal systems for Technology Store invoice payments
Reconcile inventory and operating budgets and provide profit/loss statements on a regular basis
Reconcile the Lightspeed Sales activity to credit card reports and activity in SAP; follow up on open reconciliation items
Ensure proper credit is being received and correctly recorded in SAP for Apple Campus Development Funds
Take corrective action for Technology Store billing inquiries when needed in consultation with the Store Manager
Access bank accounts, run reports to identify fees/ commissions and upload to the operating budget
Review and approve payments to outside vendors
Create and run Lightspeed reports to verify accuracy of payment for invoices and maintain historical data
Manage the operating budgets by utilizing SAP Analysis reporting system
Assist with monthly budget projections for current and future fiscal years
Identify and resolve financial discrepancies
Request quotes from vendors, use SAP Shopping Cart to create purchase orders
Reconcile inventory account to SAP using BW/Analysis reporting and project billings/estimations
Initiate Internal Service Request (ISR) in SAP related to student employee hiring, salary changes, and termination
Initiate ISRs in SAP related to Desktop/Lab Support on-call supplemental pay (weekly)
Approve purchasing transactions (Pcard, shopping carts and online payments) at a divisional level
Monitor and review account reconciliations for departments within Homewood Student Affairs
Position is required to understand all of the duties of an administrative support staff position and perform those duties as necessary, as well as performing all other duties as assigned such as coordinating Facilities requests, receiving packages, mail and deliveries
Bachelor’s degree in accounting, finance or business management
Equivalent experience can substitute for some education
One year of related progressively responsible experience required
Three years of financial administration experience is preferred, ideally in a retail or a similar transactional environment
Special Knowledge, Skills, or Abilities:
Requires thorough analytical skills; a high level of demonstrated proficiency in MS Excel
Knowledge of internal controls and various accounting system applications such as SAP
Requires excellent oral and written communication skills for tactful and effective interactions with students, parents, faculty, vendors and staff at all levels
Requires the ability to work independently with minimal supervision and excellent organizational skills to prioritize and manage multiple assignments in a diverse and frequently changing business environment
Ability to handle confidential information responsibly
Prior experience using SAP, including Analysis and/or BW Reports is preferred
Prior experience using Lightspeed OnSite or other point-of-sale systems is helpful
