Summary of Essential Functions • Coordinates administrative tasks for office • Serve as Designated School Official for Department of Homeland Security’s SEVIS system and perform basic F-1immigration tasks • Serve as reception for office
Essential Duties & Responsibilities: • Serve as front reception for office; greet students/guests, answer questions, and make appropriate referrals • Maintain all student and office files • Handle mail, main telephone line, office supply orders, work orders, and other clerical tasks • Coordinate PeopleSoft functions, as well as other internal databases and spreadsheets for study abroad/exchange and international students; generate data and reports • Update and maintain International Education website • Assist office with event and meeting planning, including space reservations, food orders and technology • Organizes and develops materials, such as agendas, minutes, spreadsheets and electronic presentations • Set appointments and make travel arrangements and itineraries for staff and/or guests • Assist Assistant Director of Off Campus Study with study abroad application processes • Assist Assistant Director with basic F-1 immigration and SEVIS tasks, such as travel signatures and registering students. • Assist with marketing and social media • Process office expenses and reconcile operations budget • Perform other related duties and projects as assigned
Knowledge, Skills, and Abilities • Knowledge of: office and administrative coordination and procedures in higher education • Skills: interpersonal both in writing and speaking; strong planning and problem solving skills; proficient in Microsoft Office, Excel, PowerPoint, social media, and databases • Ability to: handle many tasks in a busy office independently and collaboratively; manage time and work efficiently; work in a diverse environment
Minimum qualifications: • Bachelor’s degree • Relevant experience in an office setting
Preferred Qualifications: • PeopleSoft experience • Experience with F-1 visa regulations, international programs, and international students • Graphic design and web page maintenance skills
